Diary management is not really about calendars

Diary management. This task is usually lumped into the admin bucket and not considered a strategic EA skill.
But diary management is not really about calendars. It is about energy.
Yvette was in a meeting recently when someone mentioned they were feeling burnt out and overwhelmed. They are a mortgage broker, and one of their biggest frustrations is that potential clients often want to talk on weekends, because that is when they are house hunting.
Her response was, "Then work on Saturday." It was not a suggestion to work more or for longer hours. It was a call to work when your clients need you.
If Saturday is a peak demand day for your business, then maybe Tuesday morning becomes your slower day. Maybe that is when you catch up on admin, go for a walk, have a long lunch, or simply recharge.
If you are trying to force your work into a schedule that does not match the reality of your business, you will not feel in control.
Good diary management is not about colour coding meetings or finding a spare 30 minutes. It is about understanding priorities, recognising patterns, protecting energy, and creating a rhythm that actually works.
The best Executive Assistants know this. They are not just managing calendars. They are managing capacity and providing space. And that is where the real value lies.
